Privacy Policy

TransCoordinator is transaction-coordination software for US real estate professionals. This policy explains what we collect, why, and how we protect the contract information you entrust to us. We keep this deliberately short and plain.

Who this covers

This policy applies to the TransCoordinator website and application, operated for licensed real estate professionals and transaction-coordination businesses. We are a business-to-business tool; we do not knowingly market to or collect information from consumers directly.

What we collect

  • Account information — your name, work email, organization, and role, provided when you sign up or request access.
  • Files you upload — executed real estate contract packages and related documents you choose to process, along with the data we extract from them (parties, dates, terms).
  • Usage and diagnostic data — basic logs needed to operate the service securely and to fix problems.

How we use it

We use uploaded documents solely to read the contract, build your deadline calendar and coordination checklist, and generate draft messages that you review and approve. We use account and usage data to run the service, provide support, and keep it secure. We do not sell your data, and we do not use your uploaded contracts to advertise to you.

How your files are handled

Documents are processed for your account only and are kept isolated from other organizations. We take reasonable technical and organizational measures to protect them. Real client personal information is never placed into public code repositories or shared demonstration data.

Support access

To investigate a problem you report — a login you can’t complete, a deadline that looks wrong, a file that seems to have disappeared — authorized TransCoordinator staff may access your account and file records. That access is limited to what is needed to resolve the issue, and every access is recorded in an audit log that identifies who looked, at what, and when. We do not use support access to read your files for any other purpose, and we do not use it to build products or datasets. Extraction and AI processing

To read your contracts we use AI models to extract text and key fields. The model reads; deterministic code decides. A human on your file verifies every extraction before any downstream step runs. We do not permit uploaded contract content to be used to train third-party general-purpose models.

Sharing

We share information only with service providers who help us operate (for example, hosting, email delivery, and payment processing), and only as needed to provide the service. We may disclose information if required by law.

Retention

We keep your account and file data for as long as your account is active or as needed to provide the service, and then delete or de-identify it within a reasonable period, subject to any legal retention obligations.

Your choices

You may request access to, correction of, or deletion of your account information by emailing us. Because we may be a service provider or processor for your organization, some requests are handled through your organization’s administrator.

Changes

This is a pre-launch draft and will be finalized with counsel before general availability. We will post updates here and adjust the “last updated” date.
